Patients and caregivers are informed during their initial registration at Onside Care about the option to receive appointment reminders and notifications through WhatsApp and SMS. Consent is collected through the following methods:

Online Registration:

• During the registration process, users are presented with an option to opt-in to receive communications via WhatsApp and SMS.

• The registration form includes a checkbox for consenting to appointment reminders and notifications, along with the terms and conditions of communication.

• Only users who have actively checked the box and submitted the form are enrolled for communications via Twilio.

In-Person Consent:

• In care centers, consent is collected via a paper or digital consent form signed by the patient or caregiver.

• The form clearly explains the nature of the communications, the method (WhatsApp or SMS), and the frequency of the messages (e.g., appointment reminders 2 days prior to the scheduled appointment).

​Stored Proof of Consent

​

• Consent records, including timestamps and patient contact details, are securely stored in an encrypted database within Onside Care’s system.

• Each patient’s consent status is associated with their patient ID and maintained in compliance with HIPAA regulations.

• Upon request, proof of consent for any patient can be retrieved and provided.​

Opt-Out Mechanism​

All messages sent via Twilio include a clear opt-out option:

• For WhatsApp, users can reply with "STOP" to unsubscribe from further messages.

• For SMS, users can reply with "STOP" to cease receiving messages.

Upon receiving an opt-out request, Onside Care immediately updates the patient’s preferences in its system to reflect the opt-out status.

HIPAA Compliance

All communications involving patient data, including appointment reminders, are encrypted to ensure HIPAA compliance. Only essential information—such as the patient’s first name, phone number, care center name, and appointment date—is shared in the message. All data sent via Twilio is encrypted.
